On-site failover — a single-tenant warm standby in your own data centre that keeps scheduling, records and clinical documentation running through a cloud or network outage, then reconciles when you reconnect — is included with Enterprise, and available on any tier on request.

SMS, storage and integrations are passed through at cost. Patients are always free — the active-patient figures size your tier, never a per-patient charge.

Modules used by many staff are billed per seat. Modules driven by organisational capability (running workflows, campaigns, inventory, claims) are flat per-org fees banded by platform tier.

Common questions.

A seat is one active staff user who logs into Surgerly. Patients are always free. Per-seat fees only apply to the per-seat modules (Core, Governance, HR, Theatre) and only for the groups each staff member actually uses — a finance admin who only opens Core + Governance is billed for just those two, not the modules they never touch. The per-organisation modules (Automate, Reach, Supply, Finance) are flat fees regardless of how many staff use them.

It's a sizing guide, not a charge. Patients are always free, and you're never billed per patient or per appointment — your bill only moves when you choose a tier, add a module group, or add a staff seat. The active-patient figure simply helps match you to the right tier (a five-person clinic serving a hospital's patient base isn't really a Starter). There's no meter and no overage invoice: if your patient base consistently outgrows a tier's range, we'll talk about moving you up a tier — a flat step — never a per-head fee.

Hospital tier comes with 4 days/month of named Surgerly Engineer time; Enterprise comes with 8 days/month. The engineer can be used for anything you need — building and maintaining custom dashboards, configuring pathway logic, integrating third-party systems, training your team. Additional engineer time beyond the bundle is available on request, and smaller tiers can add an engineer retainer too — we'll scope it on a chat.

Yes. On-site failover puts a single-tenant warm standby of your Surgerly environment on a box in your own data centre, kept continuously in sync. If you lose your cloud connection — even in a total network outage — your team keeps working off the on-site copy (scheduling, records, clinical documentation), and it reconciles back automatically when you reconnect. It's included with Enterprise, and available on any other tier as an add-on (one-off setup plus a monthly retainer) — talk to us and we'll scope it for your environment.

Yes — add or remove module groups any time, prorated from the change date. Move up a tier without renegotiating the contract; new seats are added at your agreed per-seat rate.

Volume discounts are available on request, calibrated to your seat count and module mix — we'll work through the numbers with you on a chat.

No setup fee for Starter or Growth. Hospital and Enterprise migrations may include a one-off implementation cost depending on data migration complexity and bespoke integrations — always quoted upfront before the contract.

Annual prepayment earns a discount off your standard rate. Larger discounts may be available on negotiation.

SMS is charged at-cost based on the carrier rate — we don't mark it up. Storage is generous, with a modest at-cost rate beyond your included allowance. High-volume customers can bring their own SMS provider.

Yes — every organisation can use a custom domain (e.g. portal.yourclinic.co.uk) or the default yourclinic.surgerly.co.uk subdomain. Both are included with every tier.

Yes. Monthly billing is cancel-any-time; you'll be billed for the current month and get a full data export on the way out. Annual contracts apply where chosen for the prepayment discount.
